120 days into our AI journey – more use cases, integrations and agents

As a business owner of almost 24 years, I’m genuinely excited to keep diving deeper into AI. It has provided us with an opportunity to learn something truly significant, while giving us the perfect reason to critically assess our processes and explore how we can do things differently—better, faster, and smarter.

Following on from my post last year, 60 days into our AI journey – 6 proven use cases,” we are now well and truly up and running with AI as a core part of our operations.

Numa by Arcanum AI has proven itself to be an invaluable virtual team member—it’s been instrumental in exciting new business wins, saved us countless hours, and optimised our processes and deliverables. And there’s so much more in the pipeline.

Here are 5 game-changing benefits that are already making a real commercial difference for Rocket Science and our clients:

1. ARMED WITH KNOWLEDGE AND READY TO GO

Whether we’re prepping for a new business meeting, facilitating a client workshop, or deep in strategy development, AI enables us to quickly and comprehensively immerse ourselves in any opportunity. This has been particularly valuable when working with clients who have highly technical solutions or complex challenges.

Use Case: In late 2025, we won a complex project where two large enterprise clients in the digital infrastructure space wanted to partner and go to market together. Our role was to create their shared value proposition, strategic narrative, and full GTM strategy that would resonate with enterprise customers.

Prior to our first meeting, I spent time using AI to explore each organisation’s solutions and offerings, understanding what problems they solve for customers, how they differentiate from competitors, and how their solutions complement each other. This deep, rapid understanding was invaluable in helping us pitch and win the project against other agencies.

2. QUALITY INPUTS FAST-TRACK QUALITY OUTPUTS

We’ve invested time in teaching Numa about our business, our processes, and the various strategies and creative outputs we deliver. Now we can ingest new documents—research reports, meeting transcripts, client resources, and strategies—and request they be prepared for specific use cases. Numa understands exactly what we’re asking and delivers quickly and accurately while staying true to our own unique style.

Use Case: Today’s B2B tech buyers want to research and evaluate their business challenges independently, without engaging sales until the final stages of their buying journey. Digital assessments are perfect for supporting this self-directed research, but creating high-quality, accurate assessments is incredibly time-consuming.

For one recent project, we needed to create a comprehensive digital assessment that would help enterprise customers evaluate their capabilities across key areas. We had a fully approved client strategy covering macro themes, audience roles and needs, and best-practice solutions—but we needed to transform this into an engaging, educational assessment.

We ingested the entire strategy into Numa and asked it to work backwards: divide all insights into 5 key pillars with 5 easy-to-understand questions under each. These questions needed to simultaneously teach enterprise customers about their own challenges while capturing the information needed to generate consultancy-grade recommendations.

Numa completed this complex task in about 30 seconds, providing an exceptional foundation that our expert human clients then refined and optimised. If we’d been dependent solely on experts to build this from scratch, it would have added significant time and cost to the project.

3. TIME-SAVING MACHINE

I can’t go past this game-changer that I covered in my first blog. Our case-study-as-a-service package is critical for tech clients to build credibility and help prospective buyers to understand their solutions at a deeper level. Clients need these to be affordable and completed quickly once they have a customer ready to participate. The output can be written, video, or both.

Previously, we’d conduct and record interviews, then carefully work through transcripts word-by-word to complete sentences and remove anything irrelevant.

Use Case: With Numa, we still conduct interviews as before, but since we’ve trained Numa on our case study briefing process and outputs, we can now ingest the transcript and have Numa prepare the brief under each interview question, with verbatim quotes neatly organised.

Our team then fine-tunes the brief to ensure everything flows before finalising, getting approval, and briefing our creative team. This has cut at least 3 hours off the case study briefing process. Briefs can now be completed on the same day as the interview, helping case studies move through our process faster while remaining efficient and affordable, and of the highest quality.

4. TAP INTO DATA WITHOUT SWITCHING PLATFORMS

Integrations with other platforms are a newer Numa feature spanning CRMs, ERPs, social media, productivity tools, analytics platforms, and more. I was keen to test these capabilities.

Use Case: I’ve now integrated with Xero, Google Analytics, Microsoft SharePoint, Teams and Outlook. I can ask Numa questions and get data insights, or request it to find information and documents—without having to go in and out of each platform. Numa provides answers along with valuable additional insights, such as financial weighting across clients, or website traffic sources and period comparisons.

5. ENTER AI AGENTS

We’ve started building agents for repeatable jobs that we’re currently testing and optimising.

Use Case: We’re tackling an important job that team members or I have been doing for almost 24 years: writing Monday morning emails to every supplier, advising them of their tasks, timings, and deliverables for the week. This critical process happens the same way every Monday—we review each client’s up-to-date WIP document and then we send every supplier an email with their own to-do list.

Suppliers love this process and it’s essential for making things run smoothly, but it takes project managers or me about 20-30 minutes every week. We’ve now built an agent to automate this process.

Similarly, we frequently record video meetings and, out of courtesy, like to download recordings and transcripts to share with all participants, post the meeting in a timely manner. We’re training Numa to handle this automatically, which will likely save us around 30 minutes per week.

Looking Forward

I’m still loving our AI journey and constantly looking for new use cases. We’re well-positioned to maximise AI’s potential because, although we create highly tailored strategies and creative content for clients, our underlying processes are robust and consistent. This includes templates for different types of strategies, WIP management, creative briefs, commercial forecasting models, and more.

This process-driven approach has put us on the front foot when teaching Numa what we do and how we do it, effectively offloading tasks that in turn, give back valuable time to reinvest in client relationships and quality outputs. And we’re just getting started.
